Unifying an Event Tech Ecosystem
A presenter walks up to an unfamiliar computer and starts their session with ease. Behind that simple moment is weeks of prep, and a command center managing 30+ rooms with live speakers, presentations, and support needs.
Led the product design effort of an enterprise ecosystem for a global event technology leader. Reimagined to unify fragmented tools and workflows and streamline how large-scale events are prepared, managed, and executed.
Challenge
The existing system relied on a set desperate tools that served staff, speakers, and presenters, creating inconsistent interfaces and fragmented workflows.
The challenge was to improve the user experience, modernize the system, simplify multi-role workflows, and unify these tools into a cohesive experience that could scale across the organization.
Working with a designer on my team, product owners, in-house and outsourced development teams, I was responsible for UX strategy, information architecture, visual design, prototyping, and iterative improvements.
impact
The redesign transformed a legacy, multi-application system into a cohesive, modern ecosystem that improved efficiency and clarity across every stage of the event lifecycle.
Unified design across four applications
Streamlined workflows from power staff users to 'walk up and know' one time users
Improved confidence in live event conditions
Our clients and team are very happy with the new design.
Client
Fluid audience display accommodates 1 to 20+ speakers.
Discovery
To understand the full ecosystem, I mapped user journeys and service blueprints across all touchpoints, from pre-event preparation to on-site presentation control.
Interviews and research surfaced key insights:
Operators managed 30+ rooms simultaneously and needed instant visibility into system health.
Speakers wanted confidence that their presentation files were properly uploaded and linked.
Presenters needed large, high-contrast interfaces and quick assessment of options.
These findings shaped a clear objective: create visual and functional unity while streamlining the most time-sensitive workflows.
Simplified System Flow:
Approach
While the goal was to create visual and behavioral unity across all tools, each application was designed around its specific users and workflows. Internal teams needed operational clarity, while organizers and presenters required simplicity and confidence in live environments.
I focused on balancing system-wide consistency with audience-specific optimization. Layouts were modernized, navigation simplified, and a shared design language established to scale across four key applications.
Preparation
Guide users through upload, verification, and testing flows.
Presentation
Enable presenters and moderators to quickly find sessions and launch presentations.
Operations Dashboard
Transformed real-time monitoring with clear hierarchy, visual status indicators, speaker communication, and more.
outcome
Following internal reviews and live event testing, the redesigned ecosystem is rolling out and demonstrates:
Faster technician setup and reduced training time
More reliable file handling and smoother presentation flow
Positive response from client, operators, event organizers, and speakers
A scalable design foundation for workflows and enhancements
Strong client satisfaction that led to ongoing work and additional product initiatives across the organization
